Terms & Conditions

Welcome to Velora – By registering for and participating in retreats, 1:1 sessions, events, courses, photo sessions, creative consultancy sessions, workshops and day retreats, you agree to the following terms and conditions. Please read this document carefully as it outlines your rights and responsibilities.

Cancellation & Payment Policy for Circles, Workshops, Events, Day retreats

- Only ONLINE registration and booking for every event and retreat, unless agreed upon the event or retreat with Vilde Vollevik, through e-mail or social media. You must book the event online at www.veloraspace.com/booking

- Please cancel at the minimum of 72 hours prior to start time to be able to get a full refund.

- If you cancel later than 72 hours prior you will not get a refund.

- Absent No Show/ No Cancel: An absent No-Show/No-Cancel means booking an event and not attending. If you have not given notice to Vilde Vollevik through social media or e-mail vilde@velorawellness.no, you will not get a refund.

Cancellation & Payment Policy 1:1 sessions (1:1 Velora Rituals)

- Only ONLINE registration and booking for 1:1 sessions, unless agreed upon with Vilde Vollevik, through e-mail or social media. You must book the 1:! session online at www.veloraspace.com/booking

- Please cancel at the minimum of 24 hours prior to start time to be able to get a full refund.

- If you cancel later than 24 hours prior you will not get a refund.

- Absent No Show/ No Cancel: An absent No-Show/No-Cancel means booking a 1:1 session and not attending. If you have not given notice to Vilde Vollevik through social media or e-mail hello@veloraspace.com, you will not get a refund.

Cancellation & Payment Policy for longer retreats

1. Registration and Payment

1.1. Deposit: A non-refundable deposit of EUR 200/500 is required to secure your spot at the retreat.

1.2. Full Payment: The remaining balance is due latest 30 days prior to the start of the retreat. If payment is not received by the deadline, your spot may be forfeited.

1.3. Payment Methods: Payments are paid via invoice and bank transfer.

1.4. Confirmation: Your spot is confirmed only upon receipt of the full payment.

2. Cancellations and refunds

2.1 To be able to participate on international retreats you must have a valid passport and be able to travel to our destinations independently. Flights are not included.

2.2Payments must be made in full, 30 days before the due date of the first day of the start date, at the most. Failure to complete all payments by the due date will result in loss of entry to the retreat, and no refunds will be given.

2.3 Deposit “Booking Fee”

“Booking Fee”: a non-refundable EUR 200/500 sum that is required to secure your booking with us. Due to the exclusivity and limited availability, deposits are non-refundable. There will be no deposits refunds provided in any circumstances at any time.

2.4 All retreat payments are due 30 days prior to the start date of the booked retreat, unless otherwise specified. Clients whose balances are not received by the 30 day deadline, risk forfeiting their retreat booking.

2.5Participant cancellations:

If you need to cancel any retreat with Velora, cancellation fees will apply. All cancellations must be received in writing. Any promotional inclusions (such as products offered) will be deducted from any refund if applicable.

If for whatever reason you need to cancel your retreat place after you have booked with us, the following refund policy will apply:

  • If you cancel within 24 hours of booking

Once you have confirmation of your booking you have a further 24hrs to cancel and obtain a full refund, including deposit. After this period, the following conditions will apply:

  • 120 days or more

A full refund minus 5% admin charge will be provided for all cancellations up to 120 days prior to start day of the booked retreat. This excludes the EUR 200/500 per person booking fee which is non-refundable.

  • Between 120 - 90 days

A 50% refund will be provided on cancellations between 90-119 days prior to the start date of the booked retreat. This excludes the EUR 200/500 per person booking fee which is non-refundable.

  • Between 30 - 90 days

A 25% refund will be provided on cancellations between 60-89 days prior to the start date of the booked retreat. This excludes the EUR 200/500 per person booking fee which is non-refundable.

  • Less than 30 days

No refund will be provided on cancellations between 29-0 days prior to the start date of the booked. Cancellations less than 30 days before the start date are non-refundable and will result in 100 % loss of revenue.

  • No refund will be provided for premature leaving of the retreat or failure to arrive at the retreat for any reason.

  • No refund will be provided for only part of a booking, for example if a room is booked for two guests who are sharing and one guest is unable to attend, the booking would need to be cancelled as a whole for the above refund policy to apply.

  • No refund will be provided for any room downgrades, after the 24hrs from the point of booking has lapsed.

3. Velora Retreat cancellations

In the unlikely event that Velora must cancel a retreat, you will receive a full refund of all payments made. Velora is not responsible for your expenses incurred in preparation for any cancelled Velora retreat, such as other accommodation, airline tickets, loss of work, and/or other costs associated with preparing for your trip.

Use of credit or debit cards will not incur a surcharge if payments are cleared in full at the time of booking.

Creative Services Terms & Conditions

These terms apply to all photography sessions, content creation days, creative consultancy sessions, brand strategy sessions, and related creative services provided by Velora Creative Space.

Booking & Payment

  • All creative services must be booked at least 48 hours in advance unless otherwise agreed.

  • A booking is confirmed once payment or deposit has been received.

  • The remaining balance, if applicable, must be paid before the session date unless otherwise agreed in writing.

Rescheduling & Cancellation

  • Cancellations made more than 72 hours before the scheduled session are eligible for a 50% refund.

  • Cancellations made less than 72 hours before the scheduled session are non-refundable.

  • Clients may reschedule once without additional charge if notice is given at least 72 hours before the scheduled session.

  • Rescheduling requests made less than 72 hours before the session may be subject to an additional fee.

Creative Consultancy Sessions

  • Creative consultancy sessions, strategy calls, and creative clarity sessions are non-refundable once completed.

  • Cancellations made more than 48 hours before the scheduled session are eligible for a 50% refund.

  • Cancellations made less than 48 hours before the scheduled session are non-refundable.

  • If a client is unable to attend, the session may be rescheduled with at least 48 hours notice, free of charge.

  • Missed appointments or no-shows are non-refundable.

Photography & Content Creation

  • Prior to any photography or content creation session, the client must review and sign a separate service agreement outlining deliverables, usage rights, timelines, and project-specific terms.

  • Velora Creative Space reserves the right to decline requests that fall outside the agreed scope of work.

  • RAW files are not included unless explicitly agreed upon in writing.

  • Final editing style and creative direction remain at the discretion of Velora Creative Space.

Delivery

  • Delivery timelines will be communicated individually for each project.

  • Clients are responsible for reviewing delivered materials and notifying Velora Creative Space of any concerns within 7 days of delivery.

Client Responsibility

  • Clients are responsible for arriving on time and prepared for scheduled sessions.

  • Delays caused by the client may reduce the available session time.

  • Velora Creative Space is not responsible for missed content, images, or deliverables due to client lateness, lack of preparation, or failure to provide necessary information.

Intellectual Property

  • Unless otherwise agreed in writing, Velora Creative Space retains copyright to all photographs, videos, creative concepts, and materials produced.

  • Clients receive a license to full use of the delivered content for their own marketing, website, social media, and business purposes.

  • Content may not be sold, transferred, or redistributed to third parties without written permission.

Portfolio & Marketing Use

  • Velora Creative Space reserves the right to use photographs, videos, and project materials for portfolio, website, social media, marketing, and promotional purposes unless otherwise agreed in writing prior to the project.

Force Majeure

Velora Creative Space shall not be held liable for delays, cancellations, or failure to perform services due to circumstances beyond reasonable control, including but not limited to illness, severe weather, travel disruptions, natural disasters, government restrictions, or technical failures.
